Executive and Development Assistant

Overview

NACDL seeks a highly organized person and effective communicator to act as the primary point of contact and administrative assistant for the Executive Department including the Executive Director, the Development Director, and the Governance Counsel. This is a crucial position, providing primary administrative and clerical support to various departments, officers, directors and committee chairs. Additionally, the position will provide administrative development support for NACDL Foundation for Criminal Justice (NFCJ) events and other fundraising efforts.

The Association’s mission is to serve as a leader, alongside diverse coalitions, in identifying and reforming flaws and inequities in the criminal legal system, and redressing systemic racism, and ensuring that its members and others in the criminal defense bar are fully equipped to serve all accused persons at the highest level.

Essential Functions & Responsibilities:

  • Manage an executive and presidential calendar, maintain and frequently update contact lists, prioritize appointments and internal meetings.
  • Assist in coordinating regular meeting logistics for governance committees as well as board/executive committee meetings and periodic meetings of substantive/policy committees.
  • Manage key administrative documents, including periodic reports to the Board of Directors and Foundation Board of Trustees, minutes and resolutions from meetings, and staff meeting summaries.
  • Maintain electronic copies of all Board materials and other major presentations and reports.
  • Plan and execute logistics for Board meetings and prepare Board meeting materials.
  • Aid in maintaining governance web pages and ensure that all follow-up materials are posted after Board and Executive Committee meetings.
  • Coordinate annual and ongoing committee appointment process, including notifications of appointment, and update committee membership records in the association’s electronic systems.
  • Provide staff support to NACDL committees as appropriate.
  • Provide administrative support to regular governance procedures such as elections and bylaws amendments as needed.
  • Support NFCJ fundraising events, including tracking event supporters, event logistics, and follow up.
  • Assist in donor recognition and cultivation.
  • Assist various staff members with grant administration tasks.
  • Plan and order food and beverage for events emanating from the executive director’s office.
  • Plan and oversee support for staff life events, such as ordering flowers or gifts and circulating cards.
  • Update and maintain data in the association’s electronic systems.
  • Draft correspondence, prioritize phone calls, and respond proactively to requests and anticipated needs.
  • Other duties and projects as needed.

Education, Experience and Competencies:

  • Bachelor’s degree in related field or four years of equivalent work experience is required.
  • At least 4 years of relevant experience, 6 years of experience preferred.
  • Strong writing, editorial, and critical thinking skills are essential.
  • Outstanding organizational skills.
  • Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
  • Proactive approach to creating and continually improving systems.
  • Sound judgment and an ongoing commitment to learning, self-improvement, and acceptance of guidance and direction; an instinct for asking questions.
  • High level of integrity and professionalism, with an ability to handle confidential information, and maintain a high level of discretion, diplomacy, and courtesy in all contacts with staff, board, and external contacts.
  • Ability to work both independently and collaboratively.
  • Proficiency with Microsoft Office programs, including Microsoft Word and Excel. Readiness to learn Microsoft Outlook, Power Point and other programs as needed.
  • General familiarity with content management systems, task and project management tools, membership and other constituent management systems, and community discussion platforms.
  • Commitment to social justice.

Benefits and Application Process:

This position is based at NACDL’s Washington, D.C. office, conveniently located near several downtown Metro stations. Due to the COVID-19 virus, employees are working remotely. However, this position will be expected to work from the office once it is safe to do so (or once we return to regular operations), and this position's responsibilities will likely require in-office presence roughly once per week. All persons working in or visiting NACDL's office must be vaccinated against COVID-19. The salary range is $40,000 - $50,000, commensurate with experience.
